Start a Dossier

If you want to start a new Dossier for an existing  or new Client, that is quite straightforward. The real magic happens when you use FastPortal to start a Dossier with a Workflow or when you allow Clients to start their own Dossiers.

Team Member starts a Dossier

The quickest way to start a new Dossier is from your Dashboard:

  • Go to your Dashboard and click the Start Dossier button at the very top.

  • You can change the Team Member if you like. By default, it is set to you, but you can click the X and search for the Team Member you want to assign.
    Remove yourself as Team Member to add someone else.
  • Then search for the Client you want to start the Dossier for. Just start typing their name or email address. Or use the Select option.

    If you start a Dossier from a Client Dashboard, both the Team Member and Client fields will already be completed for you!
  • If you want to start an empty Dossier, you can leave the Workflow field blank, but FastPortal really shines if you start a Dossier with a Workflow.

Start a Dossier with a Workflow

If you constantly provide the same or a similar service for your Clients, it makes sense to make some Workflows. You can then start a new Dossier and immediately use these Workflow. That way the Tasks that your Client and your team have to complete automatically become active when the previous Task was completed.

Another benefit to using Dossiers with Workflows is that your Clients can immediately see what Tasks are coming up. This gives them a much greater sense of control and that, in turn, makes them happier!

To start a Dossier with a Workflow from your Dashboard:

  • Go to your Dashboard and click the Start Dossier button at the very top.

  • You can change the Team Member if you like. By default, it is set to you, but you can click the X and search for the Team Member you want to assign.

  • Then search for the Client you want to start the Dossier for. Just start typing their name or email address. Or use the Select option.

  • If you know the name of the Workflow you want to add, you can search for the Workflow in the search field.
    If you don’t know the name of the Workflow, you can use the green Select button to search through all your Workflows.

Client starts a Dossier

Perhaps you have a few services that are so well defined in perfectly crafted Workflows, that you are perfectly comfortable with Clients buying such a service from you, without your input. In other words: maybe you want to create a web shop with your services. Cool!

All you have to do is create a Workflow that you are happy with and enable self-sign up for that Workflow. Your Clients will then be able to see that Workflow in the list of self-sign up services that they can pick.

As a Team Member, you will not see this button. It is only available for Clients. (Hence, the “self” in self-sign up.

(Clients Only) If a Team Member has enabled at least one self-sign up Workflow, you can start a Dossier:

  • On your Dashboard you will find a big green button that says “Start a Dossier”. Click that button.
    Click the "Start a new service" button to start a service.
  • This opens a page with a list of all the services for which a Team Member has allowed self-sign up. Click the Open Dossier button for the service of your choice.
    Select the service you want to start.
  • This will open the Dossier page where you can start working on the first Task!
